Attendance, leave and shifts

HR & Workforce Operations

Built for media and field teams, and in daily use on our own infrastructure at hrm.webworxasia.com. Most HR software assumes everyone starts at nine in one building. Newsrooms, production units and field teams do not work that way, and the mismatch is why attendance data in those organisations is usually wrong.

The situation

What this exists to fix

  • Attendance is recorded on paper or in a group chat, then re-entered into a spreadsheet at month end.
  • Shift rosters live in one person's head, so cover gaps are discovered on the day.
  • Field duty and work from home are not distinguishable from absence in the record.
  • Missing clock-outs are noticed during payroll, by which point nobody remembers the shift.
  • Leave balances are disputed because there is no single authoritative record.
  • Department heads have no view of their own team without asking HR for a report.

The platform

8 modules, one data model.

Each module is purpose-built, and all of them share one record, one user directory and one audit trail.

01

Daily attendance

Present, late, absent, work from home and field duty recorded as distinct states, because treating them as one is what makes the data useless.

02

Clock-in and clock-out

Capture at the start and end of a shift, with missing clock-out detection so gaps are surfaced the next day rather than at payroll.

03

Shifts and rosters

Shift definitions and rostering built for rotating and overnight coverage, not a fixed office day.

04

Leave management

Applications, approvals and balances in one authoritative record, visible to the employee and their approver.

05

Departments and teams

Department views so heads can see their own team's attendance without routing every question through HR.

06

Employee records

The personnel record behind the daily operations: role, department, reporting line and history.

07

Reporting

Attendance and leave reporting by employee, department and period, exportable for payroll.

Integrate, don't rebuild

Built on services that already work

We build and own the application, the workflows and the operations. For infrastructure we integrate proven managed services rather than untested in-house equivalents — lower deployment risk, faster launch, and infrastructure billed at real usage.

Questions

Asked before every engagement

You can, and for a nine-to-five office you probably should. This exists because newsrooms, production units and field teams run rotating shifts, overnight coverage and duty away from any office — and generic HR tools record all of that as absence. The states are the product.

Yes. It is live at hrm.webworxasia.com and we use it ourselves, so you are evaluating a product in daily use rather than a prototype.

It produces the attendance and leave record that payroll runs on, and exports it. We integrate with your payroll process rather than replacing it, because payroll is where statutory compliance lives and that is rarely worth rebuilding.

Field duty is a first-class attendance state rather than an exception, and the interface is built for a phone. Where connectivity is genuinely unreliable we scope offline capture explicitly rather than assuming it works.
